What this covers

OrderBabu is used by a distributor to turn order slips into entries in their own accounting software. Two different people appear in that sentence and their data is treated differently: the DISTRIBUTOR is our customer, and the RETAILER is the distributor’s customer, whose messages reach us because the distributor asked us to read them. For retailer data we act on the distributor’s instructions.

What we collect

  • Account details — the distributor’s business name, address and contact details, their accounting-software settings, and the name, email address and WhatsApp number they sign in with. The WhatsApp number is confirmed with a one-time code before an account is created. Passwords are stored only as a one-way hash, which cannot be turned back into the password.
  • Order messages — the text, voice notes and photos a retailer sends to the distributor’s WhatsApp number, and the retailer’s phone number and WhatsApp display name.
  • WhatsApp history — when a distributor connects the number they use in the WhatsApp Business app, the contacts and up to six months of past chats that WhatsApp shares with us once at that moment, and the replies the distributor later sends from the app, so OrderBabu shows the same conversations.
  • Order data — the products, quantities and prices read out of those messages.
  • Operational records — logs of what the system did, and counts of how many messages were processed.

We do not collect payment card details. Subscription payments are taken by Razorpay, who handle card data under their own terms.

How long we keep it

  • Parchi photos are kept only while somebody still has to look at them, and are deleted as soon as the order they belong to is confirmed, rejected or exported. They are not included in backups.
  • Messages are deleted two years after they were sent, unless a distributor agrees a different period with us.
  • Orders are kept while the distributor’s account is open, because they are the distributor’s order history. When a distributor closes their account or asks us to, we delete their retailers’ messages, contacts and photos, and remove retailer names, phone numbers and message text from their orders, within 30 days.
  • Encrypted database backups are kept for 14 days, so deleted data leaves the backups within 14 days.
  • Operational records of what the system did are kept for accounting and troubleshooting.

Who we share it with

Only the processors needed to run the service: Anthropic (Claude), which reads order messages and slips on our behalf and does not train its models on this data; Hetzner, which hosts our servers, databases and file storage in Helsinki, Finland; Meta for WhatsApp message delivery, including the one-time codes that confirm a sign-up’s number; Resend, which sends account emails such as the welcome email and password-change notices from its Ireland (EU) region; Razorpay for subscription payments; and Telegram for alerts to our own team, which contain no retailer data. We do not sell data, and we do not use a distributor’s or a retailer’s data to train models.

Where it is held

Databases and file storage are hosted by Hetzner in Helsinki, Finland (EU). Anthropic processes an order message or slip only for the duration of reading it.

How it is protected

Traffic is encrypted in transit. Access keys and third-party tokens are stored hashed or encrypted, never in plain text. Every distributor is isolated from every other in the database, and every request is checked against the account it belongs to.

Your rights

Under the Digital Personal Data Protection Act, 2023, you may ask for a copy of your data, ask for it to be corrected, or ask for it to be erased. A distributor can have a copy of their entire account, or have it erased, by writing to the grievance officer below; we complete it within 30 days. A retailer should contact the distributor they order from, and we will assist that distributor in acting on the request.
